Hire & safety information

Helpful information about delivery, setup, power, safety and what to expect on the day. Full booking-specific terms and conditions are supplied with the written hire agreement / contract for each confirmed booking.

How hire works

Choose a package or build your own, submit your event details, and we will check availability, access, power requirements and travel before quoting. Once confirmed, we deliver and position the equipment, provide a short demonstration and collect it at the agreed time. This is equipment-only hire — we do not supply a DJ, operator or event supervision.

Insurance and the written hire agreement

Wheatbelt Party Hire operates as a fully insured business. The website pages provide general guidance only. Complete booking terms and conditions are supplied with the written hire agreement / contract issued for each confirmed booking and may include tailored conditions relating to insurance, deposits, bonds, venue access, cancellations, safe use and care of equipment.

Where we deliver and what travel costs

Based in York, we provide speaker hire, lighting hire and karaoke equipment for events in the Avon Valley and wider Wheatbelt, including Northam, Beverley and Toodyay, subject to availability and travel arrangements.

Delivery, setup and collection are included in the advertised hire price for venues within 30 km driving distance of York, Western Australia. For venues beyond 30 km, only the additional one-way kilometres over 30 km are charged at $1.50 per kilometre for the delivery visit and again for the collection visit. The calculation is (one-way kilometres from York minus 30 km) × $1.50 × 2. For example, a venue 50 km from York incurs a $60 travel fee in total. Distances are based on a reasonable driving route from York to the venue. We confirm any travel fees in your written quotation before you book. Special access requirements may be separately quoted and agreed.

Daytime and overnight hire

Daytime hire is up to five hours at agreed times. Overnight hire includes collection during an agreed daytime window the following day. A confirmed booking specifies the delivery and collection windows. Battery-powered PartyLight Sticks do not necessarily run for the entire overnight booking period without recharging.

Space, power and access

  • Provide a suitable dry, stable and secure setup area, with safe access for delivery and collection.
  • Two JBL PartyBox Ultimates and JBL PartyLight Beams use mains power. Suitable accessible power outlets are required.
  • We position equipment to minimise trip hazards, with power cables managed and kept away from walkways. Do not reposition power or lighting equipment after setup without agreement.
  • Let us know about stairs, uneven ground, long access distances, animals or other access restrictions before confirming the quote.

Weather and outdoor use

Outdoor setups are subject to our approval, the forecast, venue conditions and manufacturer requirements. Equipment needs suitable protection from rain, dust, spills, excessive moisture and unstable surfaces. Unsafe weather or inadequate shelter may require a revised setup or cancellation in accordance with the agreed hire terms.

Responsible use

  • Use the equipment only as demonstrated and for its intended purpose. Keep drinks and liquids away.
  • Do not open, modify, repair, overload or connect unsupported devices to the equipment.
  • Keep equipment secure and under responsible adult supervision, particularly around children and pets.
  • Follow local noise requirements, venue restrictions and reasonable neighbour considerations.
  • Report faults, accidents or damage promptly. Switch off and contact us if anything appears unsafe.

Lighting and fog

Moving lights and effects can be bright and may be unsuitable for people sensitive to flashing light. Tell guests if flashing effects will be used. Fog is supplied only where venue permission, detector arrangements, ventilation and other safety conditions permit; we will never disable alarms or fire-safety equipment.

Deposits, bond and payments

After confirming availability we provide a written quote setting out the total price, any travel charges, required deposit, any refundable security bond and agreed payment arrangements. Payment is by bank transfer or cash if arranged in advance; the website does not take online payments. Any bond handling, refund timing and booking-specific conditions are set out in the written hire agreement / contract.
